Your job costing now starts working the moment you assign resources.
Based on customers’ feedback, Vehicles, Tools, and Equipment records now carry their own Pay Rate and Pay Rate Type — set them once in Settings, and when a work order with those resources assigned is dispatched and completed, the Expenses tab fills itself in: one line per assigned vehicle, tool, and piece of equipment, with the configured rate and calculated total already in place. Less re-typing, more accurate margins.
✨ What's New
- Pay Rate & Pay Rate Type on resource records — Vehicles, Tools, and Equipment each accept a rate and a rate type (Per Hour or Per Day) when adding or editing the resource under Settings → Resources.
- Auto-populated expense lines — on completed work orders, the Expenses tab's Vehicles, Tools, and Equipments sections list the assigned resources automatically with their rate type, rate, and total — no re-selecting, no re-typing.
- Editable where it counts — quantity defaults to 1 and can be increased to match the job (days, hours, units); rate and description stay editable, and lines can be added or removed.
- Straight into your margins — the three sections roll up into the expense Grand Total and View Margins, so job profitability reflects real operational costs.
👥 Who This Is For
- Owners and finance teams — who want margins that include what the truck, the ATD, and the lift stacker actually cost on every job.
- Operations managers and dispatchers — who assign resources once at dispatch and shouldn't have to key the same information into expenses after the job.
- Back-office staff — who close out work orders and now review pre-filled expense lines instead of building them from scratch.
⚙️ How to Configure
- Set vehicle rates: go to Settings → Resources → Vehicles, select a vehicle and click Edit (or add a new one), enter the Pay Rate and choose the Pay Rate Type — Per Hour or Per Day — then Save.

- Do the same under Resources → Tools…

- …and Resources → Equipment. The Pay Rate and Pay Rate Type columns also appear in each resource list.

- Assign resources to jobs exactly as you do today — vehicles with the team on the work order's Dispatch tab, and tools and equipment via Assign Tools & Equipment.

- Once the job is dispatched and completed, open the work order's Expenses tab: the Vehicles, Tools, and Equipments sections are populated automatically and included in the Grand Total.

- Open any section to review the generated lines — resource, rate type, rate, quantity (defaulted to 1), and total. Adjust the quantity to match the job, edit the rate or description, add more lines, or remove one — then View Margins to see the full picture.

🔎 Good to Know
- Rates are optional per resource. Configure them on the vehicles, tools, and equipment you cost — resources are assigned at dispatch the same way either way.
- Quantity starts at 1. For multi-day or multi-hour jobs, bump the quantity on the generated line and the total recalculates instantly.
- Everything stays editable. Auto-populated lines are a head start, not a lock — adjust or remove them before finalizing, just like any other expense.
