Managing handoffs between Sales and Operations is critical to delivering a seamless customer experience. To help streamline this process, Movegistics AI now supports automatic Move Coordinator assignment based on the Sales Representative assigned to a Work Request.

With this enhancement, companies can define a dedicated Move Coordinator for each Sales Representative, ensuring the correct coordinator is automatically assigned whenever a new Work Request is created.

What’s New?

• A new Move Coordinator field has been added to the User setup screen, allowing administrators to map a Move Coordinator directly to a Sales Representative.
• Once configured, Movegistics AI will automatically assign the mapped Move Coordinator whenever that Sales Representative creates a new Work Request.
• This eliminates manual coordinator selection, reduces administrative effort, and ensures a consistent handoff process from Sales to Operations.

How It Works

Step 1: Assign a Move Coordinator Role to a User

Navigate to: Settings → Users

1. Edit the user you want to assign as a Move Coordinator Role.
2. Select the Move Coordinator checkbox.
3. Save the changes.
   

Step 2: Map a Move Coordinator to a Sales Representative

Navigate to: Settings → Users

1. Edit the user you want to assign a Move Coordinator.
2. Select the Move Coordinator from the drop-down list.
3. Save the changes.
   

Step 3: Create a Work Request

When the mapped Sales Representative creates a new Work Request:

• The Work Request Owner remains the Sales Representative.
• The system automatically identifies the mapped Move Coordinator.
• The Move Coordinator field is automatically populated during Work Request creation.

No manual assignment is required.

Assignment Priority Logic

To support multiple business workflows, Movegistics AI follows a priority-based assignment process.

Priority 1: Sales Rep → Move Coordinator Mapping

• When a Work Request is created, the system first checks whether the assigned Sales Representative has a Move Coordinator mapped in: Settings → Users
• If a mapped Move Coordinator exists: ✅ Automatically assign that Move Coordinator.

Priority 2: Service Type Default Move Coordinator

• If no Move Coordinator is mapped to the Sales Representative, the system will automatically fall back to the Service Type configuration.
• Navigate to: Settings → General → Service Types
• Edit a Service Type and configure the: Default Move Coordinator
• If a Service Type has a default Move Coordinator assigned: ✅ Automatically assign that coordinator to the Work Request.

Assignment Hierarchy

The system follows the logic below:

1️⃣ Sales Rep Mapping (Highest Priority)

Sales Representative → Assigned Move Coordinator

↓

2️⃣ Service Type Default Coordinator

Service Type → Default Move Coordinator

↓

3️⃣ Manual Selection

If neither configuration exists, users can manually select a Move Coordinator.

Example Workflow

Scenario A: Sales Rep Has a Mapped Move Coordinator

• Sales Rep: John Smith
• Mapped Move Coordinator: Sarah Johnson
• When John creates a Work Request:
• ✅ Sarah Johnson is automatically assigned as the Move Coordinator.
• The Service Type configuration is ignored because Sales Rep mapping takes priority.

Scenario B: No Sales Rep Mapping Exists

• Sales Rep: John Smith
• No Move Coordinator Assigned
• Service Type: Local
• Default Move Coordinator: David Miller
• When John creates a Work Request:
• ✅ David Miller is automatically assigned based on the Service Type configuration.

Scenario C: No Mapping Exists Anywhere

• Sales Rep: John Smith
• No Sales Rep Mapping
• No Service Type Default Coordinator
• When the Work Request is created:
• ✅ The Move Coordinator field remains available for manual selection.
